Filing of Documents – Child & Youth Protection

In order to be in compliance with A Statement of Policy for the Protection of Children & Youth, the following documents should be placed in the personnel file of the employee or volunteer:

Employee Application

  • Employee Acknowledgement of Receipt and Review of A Statement of Policy for the Protection of Children & Youth and the Code of Conduct for Church Personnel in the Archdiocese of Baltimore
  • Documentation for three reference checks
  • Results of CJIS/Fingerprint Check
  • Safe Environment (STAND) Training Verification

Volunteer who has substantial contact with children file*

  • Volunteer Application
  • Documentation for three reference checks
  • Safe Environment (STAND) Training Verification

The files are to be kept in a confidential, safe and secure location with controlled access, such as in a locked file cabinet. Files may be reviewed by the appropriate supervisory personnel, but may not be copied or removed from the offices where they are maintained.

*Note: Other documentation not directly related to this policy may also be required for files.
